NALIP DWIMF Assistant Coordinator

The Assistant Coordinator will work closely with the Program Director, Events Specialist and across NALIP’s team on the planning and execution of NALIP’s annual Diverse Women in Media Forum to be held the first week of December. 

This position is paid with a weekly stipend of $660 and is from September through December 2022.


The responsibilities of the assistant coordinator include but are not limited to:


  • Research regional filmmaker organizations and institutions, with particular emphasis on diversity; build and maintain outreach/target lists
  • Conduct ongoing outreach to sister organizations, production companies, film markets & festivals, and other industry networks to identify potential executives for pitch meetings
  • Oversee preparation of DWIMF
  • Provide event coordination and planning support
  • Edits and proofs printed materials related to events
  • Facilitates the deliverables, docs and information management and flow with internal team and external teams/vendors
  • Contributes to planning and executing the programming
  • Assist drafting and sending out invitations to potential speakers and awardees
  • Assist is maintaining Website updated along with team
  • Works with assigned Executive, Director, Manager, and Organizers to plan events
  • Maintains files along with Data Management of information
  • Assists in attendee registration database and assist in the validation of the passes purchased
  • Oversee budget, speakers, recordings, audio/visual
  • Support relations with existing vendors and outreach to new vendors
  • Assist in the recruitment of key positions for head of departments as well as volunteers.
  • Deliver Final Wrap Report

  • Excellent problem solving skills and patience
  • Knowledge of business and research
  • Computer literate (MS Word, Excel, Google Suite) and database management
  • Extensive customer service experience
  • Proven ability to perform and succeed in a fast-paced, dynamic and deadline driven environment
  • Availability to work evenings and weekends


Position Requirements:


  • Employee has legal authorization to work in the United States.
  • Must be 18 years or older.
  • Must be able to perform job duties and physical demands of the job, including bending, sitting, lifting and driving.


Education and Experience:


  • Bachelor’s degree or comparable experience


Knowledge, skills, and abilities:


  • Knowledgeable of the organization, NALIP.
  • Strong interest and knowledge in independent film.
  • Ability to think on your feet and anticipate issues before they happen.
  • Effective time management and maintaining strong communication channels across different departments within the organization.
  • Strong leadership skills, able to assemble and train a team to carry on tasks.
  • Strong phone and computer skills.
  • Strong knowledge and experience with Google Suite
