Reports to: VP of Creative and VP of IP and Development
Administrative Duties:
- General administrative duties including, managing calendars, travel arrangements and itineraries, expense reports, organizing departmental and executive meetings and/or calls, personal and professional
- Maintain up-to-date awareness of executives' obligations in order to proactively assist and/or anticipate needs
- Persistent follow up with various departments to ensure that requests are carried out and activities are coordinated
- Take notes during executives and departmental creative meetings and calls
- Prepare succinct weekly planning digests for each upcoming week including pending and confirmed meetings and/or calls with all relevant materials and links attached, to-dos, and other action items or information pertinent to executive
- Answer executives' phone and greet and accommodate visitors, as needed
- Intuitively handling the variety of tasks and challenges that come through the Creative Department
- Provide general support for Creative Department as directed by executives
- Hire and oversee internship program as an active supervisor
Creative Duties:
- Read and provide original feedback on all creative materials submitted to, and originated by, executives
- Develop creative presentation materials and contribute to the development of original takes for the current IP slate, as directed
- As needed coordinate and oversee internal distribution of scripts and drafts, and securely coordinate the external distribution of confidential creative materials
- Manage incoming script submissions and submission database including accurate entry and database development and maintenance
- Provide script coverage when necessary
- Provide IP library development and maintenance support to IP executives as directed
Qualifications:
- 1-2 years of entertainment executive assistant experience
- Detail-oriented and organized with proven ability to manage multiple tasks at once
- Strong verbal and written communication skills
- Collaborative and a problem solver
- Experience with PowerPoint and Adobe Photoshop
- Bachelor's degree or equivalent
